The April 28th Special Meeting to Call a Minister and AGM — What you need to know!

Including Proxy instructions and Voting Notes

What the day looks like:

  • 10 am – Service (Featuring guest Sarah Lewis and the Mshkiki Drum Circle)
  • 11:30 am – Special Meeting to Call a Minister (In person & online. Online: stay in the same Zoom call as the service.)
  • POTLUCK LUNCH (Downstairs)
  • 12:30 pm – Our 2024 AGM (In person & online. We will re-start the same Zoom link as the Service and Special Meeting at this time.)

Proxy Instructions

Please attend this milestone day if you can! If you cannot…

The Special Meeting and AGM will both be live-streamed. Online voting IS available to UFP Members in the livestreams.

If you are a Member and unable to attend these meetings, please assign your proxy to another UFP Member who will be attending in person.

Once a Member has agreed they will serve as your proxy, send them an email with the wording below — and make sure to copy that email to board@peterboroughunitarian.ca. (Note that because the Special Meeting requires a secret ballot, proxies cannot be exercised online.)

Put “Proxy” in the Subject line. The wording to use in your confirming email is:

I, [put your name here], appoint UFP member [put the Member’s name here] to act as my proxy at both the Special Meeting and Annual General Meeting of the Unitarian Fellowship of Peterborough on April 28, 2024.

Why Attending is Important!

A 50% quorum, and 90% vote are needed at the Special Meeting.

Calling a Settled Minister is a milestone event in the life of a congregation. This decision has a quorum of 50% of active members. Uniquely in our by-laws, this choice requires a vote of 90% in favour.

The Board is excited to host this meeting, and we look forward to seeing you on Sunday.

Child care & potluck

Supervised children’s programming continues through the Special Meeting to Call a Minister.

The Potluck lunch will take place after the Special Meeting has concluded — all are invited to the lower level!

SUGGESTION: To reduce the need for re-heating food and doing a lot of dishes, you’re encouraged to bring as a contribution vegetarian finger foods that do not need to be warmed up!

During lunch and AGM, childcare is not provided. But we’ll offer a cozy corner of activities that families are welcome to select from and bring to their tables to play with during the meeting!
